When someone replies to a campaign email, the system detects it automatically via IMAP on the sending account. The reply is matched to the original campaign and lead using the Message-ID and In-Reply-To headers. The lead's status in the campaign automatically changes to "Replied," which stops any further sequence steps from being sent.
Simultaneously, the reply is analyzed by GPT-4o-mini for sentiment, interest level, suggested next action, and urgency. The analysis is stored alongside the reply so it's instantly visible when you open Unibox.
Auto-replies (vacation messages, out-of-office, delivery notifications) are automatically detected and filtered out — they're marked as read and never appear in Unibox.
Layout
Unibox uses a three-panel layout:
- Left Panel — thread list (all email conversations)
- Center Panel — email detail view (the selected conversation)
- Right Panel — contact details, actions, and metadata
On mobile, these panels stack and you navigate between them with tap/swipe.
Context Menu (Right-Click)
Right-clicking any thread in the list opens a context menu with quick actions:
- View
- Star / Unstar
- Mark as Read / Unread
- Category submenu → all 6 categories
- Add to Pipeline
- Archive
- Block Sender
- Delete
This enables rapid triage — you can categorize, star, and manage threads without opening each one.
Add to Pipeline Modal
From Unibox, you can convert any email contact into a Pipeline lead. The modal pre-fills available data from the email and the company database:
- Company search — type a company name or registration number to auto-complete from the 9M+ company database. Selecting a company pre-fills all known data.
- Contact Name — extracted from the email or entered manually
- Phone Number — if the company has multiple numbers, a dropdown lets you pick the right one. Shows Mobile/Landline type.
- Email Address — pre-filled from the reply, selectable if multiple found
- Website — pre-filled from the database, selectable if multiple domains
- Lead Status — New Lead, Contacted, Interested, Meeting Scheduled
- Priority — High, Medium, Low
- Estimated Revenue (€) — deal value estimate
- Source — Email Campaign, SMS Campaign, Website, Ads, Referral, Cold Call, Other
- Last Contacted — date picker (pre-filled with today)
- Next Contact — date and time picker (pre-filled with 7 days from now at 9:55 AM)
- Notes — pre-filled with industry and region from the database
The form is fully responsive — on mobile, fields stack vertically in a single column. Custom dropdowns use fixed positioning to prevent overflow clipping on smaller screens.
Workflow Tips
Daily Unibox routine for sales teams:
- Check the top bar stats — how many new Interested, Callback, Booked replies today?
- Filter by "Interested" category — handle the hottest leads first
- For each interested lead: read the AI analysis, draft a reply (or use AI Draft), add to Pipeline if promising
- Filter by "Callback" — set reminders for follow-up dates mentioned by prospects
- Filter by "Not Interested" — quickly confirm the AI's categorization, no action needed
- Use stars to flag threads that need manager input or special attention
- Use tags to organize by deal stage, product interest, or team member
